Job Summary

JOB SUMMARY: The Data Coordinator supports with increasing independence and accountability the execution of adjudication and ECG projects through accurate data entry, processing, and quality review of adjudication cases and related data. In addition to core data activities, the role is responsible for coordinating and managing operational tasks such as scheduling and supporting committee panel meetings and maintaining project documentation. Working closely with the project Data Manager, the Data Coordinator monitors assigned tasks and deliverables, identifies routine to moderately complex issues, and recommends appropriate next steps within established guidelines to ensure milestones are met on time, and in accordance with the approved scope of work.  

The role contributes to continuous improvement of adjudication and data management workflows by identifying issues, escalating risks appropriately, and recommending process enhancements. The Data Coordinator plays a key role in maintaining data integrity and supporting highquality project outcomes by applying sound judgment, managing priorities with a moderate level of guidance, and collaborating effectively with crossfunctional team members. The role may use approved AI and digital tools, in conjunction with systems such as Excel and AIMS where applicable, to organize information, support quality checks, and improve efficiency in day-to-day work. This position requires the ability to work independently, manage multiple concurrent tasks, and contribute reliably to the successful delivery of adjudication activities across projects.  

 

ESSENTIAL DUTIES/RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty and responsibility satisfactorily.  The accountabilities listed below are representative of the knowledge, skills, and/or ability required. 

  • Support the project Data Manager or designee to complete assigned deliverables with high quality and within agreed timelines, taking ownership of assigned tasks and communicating status, risks, and dependencies in a timely manner. 

  • Apply study-specific adjudication guidelines to ensure consistency and compliance, using judgment to address routine variations and escalate moderately complex questions appropriately. 

  • Apply internal SOPs to study-specific adjudication needs to ensure consistency and compliance 

  • Serve as a primary operational contact for committee members regarding member scheduling and communications for adjudication panel meetings or member inquiries, coordinating with internal stakeholders to resolve scheduling or documentation questions within established processes. 

  • Responsible for preparation and documentation of panel meeting agendas and panel adjudication decisions, including use of approved AI tools to generate draft panel meeting minutes and support QC of panel decisions against source documentation, with human review and final validation 

  • Manage study inbox for external communications, using sound judgment to triage requests, identify required follow-up, and synthesize information from multiple emails or documents into clear, actionable summaries. 

  • Initiate and respond to routine client or sponsor requests on behalf of Data Manager(s), drafting and refining communications as needed and escalating sensitive or complex matters appropriately. 

  • Identify issues with source document uploads and apply queries or escalate as necessary, assessing likely impact on case processing timelines and data quality. 

  • Track resolution of queries.  

  • Prepare and review project related reports and documents, as directed by the Data Manager, using tools such as Excel and approved AI-generated outputs to support analysis, quality review, and decision-making efficiency. 

  • Act as the point of contact and communicate case processing status to project team and sponsor team as appropriate, tailoring updates to the audience and ensuring information is accurate, timely, and actionable. 

  • Evaluate data quality issues, determine appropriate resolution paths within established guidelines, and escalate complex risks as needed.  

  • Preparation, tracking and progress reporting of assigned project deliverables, including identifying trends, gaps, or follow-up needs that may affect timelines or quality. 

  • Perform data entry tasks and quality checks as assigned, applying established procedures and documenting discrepancies for resolution. 

  • Serve as back-up for assigned project tasks and meetings, as appropriate. 

  • Use approved AI tools to help draft and refine complex email communications, summarize information from multiple sources, and support day-to-day task efficiency while applying appropriate review, confidentiality, and quality controls 

  • Other duties as assigned by supervisor. These may, on occasion, be unrelated to the position described here. 

EDUCATION REQUIREMENTS:

CERTIFICATIONS/LICENSE/REGISTRATION REQUIREMENTS:

QUALIFICATIONS/EXPERIENCE: 

  • 2 or more years of relevant , data entry, or equivalent office experience, including experience managing assigned work with moderate guidance; or the equivalent combination of education, skills and experience to perform the job. 

  • Experience or exposure to clinical trial environment is advantageous 

  • Critical thinking and analytical skills required. 

  • Attention to detail is essential, strive towards 100% accuracy in work processes.   

  • Excellent problem solving/decision making skills, including the ability to evaluate moderately complex issues using prescribed guidelines and determine when escalation is needed. 

  • Outstanding written and oral communication skills, with the ability to explain complex information clearly in straightforward situations. 

  • Excellent organizational and planning skills with the ability to utilize technology and tools, including Excel and approved AI-generated outputs, to improve efficiency and support accurate work products. 

  • Excellent interpersonal skills. 

  • Ability to work independently and function effectively in a fast-paced environment, while seeking guidance on complex or non-routine matters. 

  • Ability to prioritize multiple projects and tasks.   

  • Knowledge of MS Office, specifically Word, Excel and PowerPoint, and demonstrated curiosity and responsible experimentation with approved AI or digital tools within existing systems and practical constraints. 

  • Knowledge/previous experience working in a Data Management system is a plus or related system such as AIMS is advantageous.

Pay Range

USD $58,860.00 - USD $91,500.00 /Yr.
